The Quote Process
Blue Ridge Tours always tries to keep our costs affordable for our schools so that the financial burden is not too great for all students to be able to participate in fun and educational trips that will make memories that last a lifetime. We also offer programs to help those children who may not be able to attend a field trip normally, and who need a helping hand. We are always happy to help in any way that we can. The quoting process is the beginning of being able to use our resources to help those in need. When we are first contacted, we need certain information in order to put together a quote. We have a certain intake information required for this process. Whether we are contacted by phone, fax, or email, the following information is required in order for us to begin the quoting process.

Once a tour coordinator receives your quote request,you will be able to move forward with the quote process. Your personalized tour coordinator will guide you through the trip planning process and provide you a draft itinerary, customized to the goals that you outlined in your trip intake request form. Quotes are based on the numbers provided in the first intake process. These are the numbers that we will use during our initial booking of venues and throughout the trip confirmation process. It is essential that these numbers are as accurate as possible upon first booking.
We understand that the number of paying participants may increase or decrease throughout the year .If the number of paying participants change drastically, BRT will offer you a variety of options and alternatives that can adjust the price if needed.
In general, we have found that not all students will attend a trip. We suggest estimating a lower number as opposed to higher number in order to keep the quoted price the same throughout the trip.
Based on the number of paying participants, costs increase once numbers drop below the quoted price. For example: if your total class roster is 35 students and you are expecting 10 parents, we would quote your group based on 45 paying participants. If at trip departure your group number equaled or was greater than 45 paying participants, your quoted price would remain the same. However, if your group number was below 45 paying participants, the cost of your trip would increase in order to cover the costs of those missing participants that were included in the original quote.
Paying participants are considered students and parent chaperones. We do not offer any complimentary packages for parent chaperones; however we do offer a complimentary teacher package for every 10 paying participants. Student scholarships are also provided based on the number of paying participants. If the number of paying participants drops below the minimum number quoted, student scholarships may become unavailable.
Some of our most frequently asked questions involve our motorcoaches. In the quoting process, motorcoaches are one of our biggest expenses. When we receive a quote from one of our deluxe motorcoach companies, the quote is based on the number of buses requested. We are not provided a quote based on the number of seats that are available. The quote is for the entire bus, whether it is at full capacity or not. This means that the price of the bus remains the same whether the cost is covered by 5 people or by 55 people. When numbers drop, the price of the motorcoach is one of the main reasons that overall costs increases due to the fact that the cost is covered by less people and so each person is charged more to cover the cost of the bus. The quotes that we receive also cover other costs including fuel, tolls, and tips, lodging and parking. We are not provided with a full price breakdown for these expenses.
When quoting for overnight trips, we also quote hotels based on four participants to a room. We include both students and parent chaperones in this quote. We do not offer single rooms to parent chaperones.
If a parent/student is placed in a DBL occupancy (2 per room) then a $150.00 room supplement will be required and added to trip cost. Teachers are quoted at DBL occupancy (2 per room). One single room is offered to an administrator or lead teacher. Anyone requesting a Single room will be required to pay an additional room supplement fee, depending on the hotel rates available. Please let your tour coordinator know of any requests for less than four to a room as soon as possible, for this affects the quoted price and may cause the overall cost to increase as more hotel rooms are added.
